Example Appointments screen with fictional people: a caller asks Quill for a consultation with Jennifer, Quill finds her open times and books Thursday at 2:00, the booking lands on Jennifer’s calendar and in the bookings list, a verified texter books the support team’s round robin for Tuesday, and the booking opens on the caller’s record as an appointment card.

Callers book the right person, not a link.

Quill books by voice and by text onto the calendar that fits the purpose: the person they asked for, the team that handles it, inside your hours.

Purpose-matched calendars

The caller names who. Quill finds when.

Every calendar carries a purpose. Quill matches what the caller asks for to the right one and offers only the times that are really open.

A person, a team, a room.

Ask for Jennifer and Quill reads Jennifer’s calendar. Ask for help with an account and it reads the support team’s. It offers a couple of open times, the caller picks one, and it’s booked before the call ends.

Booked on the call. Or in the thread.

The same booking works on a phone call and in a text conversation, so nobody waits for a callback to get a time.

One calendar, two ways in.

On a call, Quill offers times out loud and books the one the caller says. By text, a verified caller gets the same choice in the thread. Both land on the same calendar with how they were booked.

Your rules hold

Quill books inside the lines you draw.

Each appointment type sets who it’s with and when it can happen. Quill never offers a time that breaks a rule.

One-on-one, group or round robin.

Pick the kind, then set the length, the weekly hours, the lead time, buffers on either side, how far ahead people can book and a daily cap. Choose a phone call, an in-person address or a Google Meet link.

Group bookings land on everyone.

A group type needs every calendar free at once, and each person gets the event on their own calendar.

Round robin spreads the load.

Any free teammate can take it, starting with whoever has the fewest bookings that week.

Checked again before it books.

Quill re-reads the calendars the moment it books. If the time was just taken, it offers the caller another one.

On the record

The appointment sits with the conversation.

Every booking shows up on the caller’s record, right beside the call or text that made it.

The card shows the type, the time in your time zone, the calendar and the place, plus whether Quill booked it by call or by text or the team did. One click opens it in Google Calendar.

Ask Quill Assistant about the calendar in plain English: what’s booked tomorrow, whether someone has an appointment, what Quill booked this week. It answers from the same appointments your team sees.

Questions about Appointments

Google Calendar. Connect a Google account, add the calendars Quill may use, and give each one a purpose: a person, a team, a room. Quill reads free and busy time from those calendars and writes the booking back as a Google Calendar event.

Each appointment type names its calendars and what it is for. When a caller asks for a person or a kind of appointment, Quill matches the request to the type, checks that calendar’s open times, and offers them. The caller picks one and Quill books it.

Quill checks the calendar again at the moment it books. If the time was just taken, the booking is refused and Quill offers the caller another open time instead.

A group appointment needs every calendar on the type to be free, and each one gets the event. Round robin books any free teammate, starting with whoever has the fewest bookings that week, so the load spreads evenly.

Yes. Each appointment type has its length, weekly hours, a lead time before the earliest booking, buffers before and after, how many days ahead it can book, and a daily cap per calendar. Quill only offers times that fit every rule.

Yes, once their number is verified. Quill offers times in the thread and books the one they choose. Anyone who isn’t verified can still leave an appointment request for your team.

A name, an email address and a phone number. The email receives the calendar invite, and a text confirmation with a calendar file goes to the caller’s own number when it’s verified and hasn’t opted out of texts.

On the calendar it was booked on, on the Appointments screen, and as a card on the caller’s record next to the call or text that made it. Ask Quill Assistant “what’s on Thursday?” and it reads the calendar for you.

Appointments are included on Pro and Portfolio. Booking also needs Quill Concierge answering the line and a connected Google Calendar.
