Put your community on the record. Ninety days, free.

Board reports

One question, one report. Built from the record, not from memory.

The board report writes itself.

Every call, text, email and meeting is already on the record, so the monthly report is a question, not a weekend. Ask Quill Assistant for it in plain English.

  • Calls, topics, loose ends and satisfaction, counted for you
  • Meetings come in with their decisions and action items
  • Through MCP, the same numbers sit beside your accounting and management data in Claude, ChatGPT or a spreadsheet

Snap a violation. That’s it.

A board member photographs the bins left out on Willow Creek Drive and sends it from the association’s number. The photo lands on the address’s record, and the courtesy notice becomes a loose end nobody has to remember.

Residents send photos too.

A crack by the pool, a stain on a ceiling. It arrives in the shared inbox with the address attached, and the reply goes out from the association’s number.

On your own phone

A resident calls your cell. You already know their whole story.

Tap History before you say hello.

The association’s line rings on a board member’s own phone, or in the browser at their desk. One tap while it rings shows everything that resident has ever said to the association: every call, text, email, voicemail and meeting mention, the photo they sent yesterday, and the promise still open. Answer knowing all of it.

Systems that never spoke

Five places become one. Meet your community’s new front desk.

Right now the association’s calls, texts and complaints live in a personal cell, a group chat, an inbox and a Nextdoor thread. Quill puts them in one place the whole board can see.

Quill Concierge

One front desk for Willow Creek HOA.

  • Answers from the CC&Rs, the pool rules and the calendarThe published line, picked up on the first ring.
  • Takes the message and the callback numberFiled to the resident and the property, not a voicemail box.
  • Texts the gate code to a verified residentAnd never to an unknown number.
  • Checks who on the board is free before a transferBy department, by hours, by who is on duty.
  • Puts every conversation on one timelineCalls, texts, emails and photos, per person and per address.

Set the rules once. Volunteers keep their evenings.

Ring the board in order, then voicemail.

In plain terms

What QuorumVoice is not. So the board knows exactly what it’s signing up for.

Not a replacement for your board or your manager.

It is the front desk they share. People still decide; QuorumVoice makes sure they decide with the whole conversation in front of them.

Not an answering service that takes a message and hangs up.

Quill answers from your documents, checks who is free, transfers when it can, and files the whole call, not a slip of paper.

Not a chatbot pretending to be a person.

Quill says it is the association’s automated assistant, hands off to a person on request, and never invents an answer it cannot find.

Not an accounting or dues system.

Dues live in your accounting software. QuorumVoice keeps the conversation about the dues, and through MCP the two can sit side by side in one report.

Not a resident portal or a community website.

Residents never log in to anything. They call or text the number they already know, and the record builds itself behind it.

Not a texting blaster.

Resident texting is two-way and opted in, registered under the association, with STOP honored the moment it arrives. No campaigns to a list.

A working partnership

Bring the calls. We build the front desk around them.

We set it up with you. Your board tells us what’s true in real life. Four asks, nothing more.

  1. 01

Let Quill answer the published line.

The number residents already call. Their real questions are how we learn what your community needs.

  2. 02

    Join two thirty-minute check-ins.

Around day 14 and day 60. We bring the conversation history; you bring the questions.

  3. 03

    Tell us what needs work.

A wrong answer, a confusing screen, a missed detail. Founding feedback sets the priorities.

  4. 04

Share your experience, if it’s earned.

A reference conversation or a quote for the next community, only if you’re glad to give one.

From kickoff to your decision

Kickoff to decision in ninety days. Your number and records stay yours.

  1. Kickoff

    Start with your community.

Bring the board roster, the documents and the number decision.

  2. Weeks 1–2

    Set it up together.

Configure Quill and work the number and carrier approvals.

  3. Around day 14

    Review the first calls.

Check the answers, the records and the resident experience together.

  4. Around day 60

    Tune what needs tuning.

Go through the feedback and decide what gets attention next.

  5. Day 90

    Choose what comes next.

Continue at the founding rate, change plans or leave.

Questions from the board

Self-managed HOAs and small management companies in Greater Houston, including Montgomery, Harris and Fort Bend counties. The program is designed for ten communities willing to use the product and give direct feedback.

The founding offer includes ninety days on Pro at no cost, hands-on setup, community knowledge configuration, board access, and direct founder support. We work through the number and carrier-registration requirements with your community.

Not necessarily. We can help port an eligible association number. If residents currently call a board member’s personal cell, we can provision a local association number and help you plan the change.

Choose whether to continue on Pro at a founding rate locked for twelve months, move to a different plan, or leave. If you leave, we help with porting your number out and exporting your records.

We begin with your board roster, community documents and number choice. The setup target is the first two weeks; number porting and texting activation depend on provider and carrier approvals. We review timing together at kickoff.

Business calls are recorded and processed into transcripts and summaries, with disclosure handled by the call flow. Your association remains responsible for the recording and consent requirements that apply to its calls. Internal teammate calls are not recorded.

Quill can take a message and callback details or check whether someone is available for a transfer. Your team can review the conversation and follow up. We use your feedback to improve the community’s knowledge and setup.

Yes. Managers can join the association’s organization alongside board members. At kickoff, we will work through access and responsibilities with you.

Create an account and answer the same short questions as the waitlist: your association, its size and what is getting in the way. We call you to set up the kickoff conversation; nothing is charged.
