Example knowledge base with fictional records: a CC&Rs document dropped in and read into sections, Section 4.4 opened, a caller asking about chickens, Quill answering from Section 4.4 and naming it, and the knowledge base filtered to the one question Quill couldn’t answer.

The QuorumVoice way.

It says where the answer came from.

When Quill answers from a document, it names the document and the section, and keeps to what it says. Turn on “Read it word for word” and it quotes the wording exactly: right for a rule, a definition or a deadline.

Last 30 days

Counted after the caller already has the answer, per entry, document and site.

Used by Quill.

“38 answers · last today” on the entry that works, “Never used” on the one nobody has needed. Thirty days of use, one bar a day.

Replace it, no gap.

Upload a new version and Quill keeps answering from the current one until the new one has been read.

It quotes. It doesn’t rule.

Quill says what your document says and where. It doesn’t interpret it or predict an outcome; a dispute or an appeal becomes a message for your team.

Off in one switch.

Turn off “Quill uses this” and Quill stops answering from a document right away. The sections stay, so turning it back on costs nothing.

What time does the pool close today?

The pool is open until 9pm today. Weekends in September it closes at 6pm.

Can I bring a guest?

Yes, up to two guests with you. The Rules & Regulations, section 7.3, say guests must be with a member at all times.

On calls and texts.

Quill Concierge answers texts from the same knowledge it uses on calls, and names the section there too.

Questions about the Knowledge Base

An AI knowledge base is the set of answers an AI assistant is allowed to give: your own facts, policies and documents, indexed so the AI can find the right passage by meaning rather than by exact words. In QuorumVoice it is what Quill answers your callers and texters from, and what Quill Assistant reads when your team asks about it.

Three kinds of knowledge, in one list. Entries you type as a question and an answer, filed under your own categories. Documents you upload: PDF, Word or text files up to 50 MB, read into labelled sections. And your website: one page, one section or the whole site, crawled and kept up to date.

When a caller asks something, Quill searches your entries, documents and website by meaning, then answers from what it found. When the answer comes from a document, it says which one and which section, for example “your CC&Rs, section 4.2, say…”. It keeps to what the document says; a dispute, an exception or an appeal becomes a message for your team.

Yes. Text PDFs are read directly, scanned pages are read with OCR, and Word files keep their own numbering, so “Section 2.5” is still Section 2.5 when Quill says it. Running headers, page numbers and tables of contents are cleaned out before the document is split into sections.

It says so and offers to take a message, and the question lands at the top of your knowledge base under “Needs an answer”, with who asked and how. Often a draft answer from your site and entries is waiting. Answer it once and Quill has it on the next call.

Yes. Mark an entry or a document “Verified accounts only” and Quill shares it only with callers whose account is verified. Anyone else hears that it can only share that once they are verified, and Quill offers to verify them.

Yes. Turn on “Read it word for word” for an entry or a document and Quill quotes the wording exactly instead of explaining it. It is worth it where the wording is the answer: a rule, a definition, a deadline.

Websites are re-crawled daily, weekly or monthly, and only changed pages are re-read. Replacing a document never leaves a gap: Quill keeps answering from the current version until the new one is ready. Every entry, document and site shows how often Quill has used it, so you can see what needs a look.
